A Naples condo move isn’t “park the truck at the front door and go.” The building’s rules run the day: certificate of insurance (COI), elevator reservation, loading dock, advance notice, and the move window.
This is for households moving into or out of Naples condos and high-rises, places like Pelican Bay, the Gulf Shore Boulevard corridor, and Cove Towers. One rule covers everything below: every building writes its own packet, so ask management for the current written requirements before you book a crew. Don’t go by what a neighbor did last year. I’m Marshall Rapp, owner of Great Moving and Packing. Call (239) 297-4809 when you’re ready for a written estimate.

The checklist: what to get from management
Ask building management, the condo association, or the front desk for:
- Notice deadline: how far ahead you have to tell them
- Approved move days and the time window
- Elevator: freight or service elevator, how to reserve it, and whether pads are required
- Loading dock or service entrance: location (not the guest lobby by mistake), vehicle clearance or restrictions, where the truck waits, where the crew can stage items, and what happens if the dock is occupied
- Check-in: gate, security desk, doorman, or dock attendant
- COI: email of whoever handles contractor certificates
- Move-day contact: a name and number
Don’t assume any deadline, fee, weekday rule, or pad requirement. Whatever the packet says is the rule. Pads and any other building measures are management’s call. The crew follows them.
COI: what it is and where it goes
A certificate of insurance shows the moving company’s insurance details. Usually the building, the association, or its management asks for it, and many Naples high-rises won’t let a crew on the property without one on file. Management may specify the certificate holder, additional-insured wording, coverage dates, and how it’s delivered.
Your only job is giving us the email of whoever handles certificates. We ask them what they need, and our insurance broker sends the certificate straight to them. If the certificate has to show dates, confirm the move date with management first, and ask them how rain dates or rescheduling work.
Who does what
Family / owner / tenant: gets the packet, reserves the elevator and the move window, gives us the certificate contact, and tells management the unit, move-in or move-out, and the confirmed date.
Mover: works the window it’s given. We can’t create access nobody reserved. Before the estimate is final, send us:
- Management contact and certificate email
- Elevator reservation and dock/service-entrance details
- Stairs, long carry, narrow approach, parking limits, or a second stop
- Furniture, appliances, fragile items, and packing needs
- Anything that won’t be ready inside the window
Put the confirmed date, start and end times, elevator location, and contact name in the job notes. Reconfirm with both sides a few days before, or on whatever schedule your packet sets. On move day, check in as instructed and keep the building contact reachable. For a quick overview of our condo work, see condo and apartment moves.
How to compare movers for Naples condo work
Look for a licensed local mover that works from the building’s written checklist and access window, not one that waves off building rules.
Get a written estimate after the mover has the real logistics: floors, elevator, dock, stairs, long carry, packing, volume, and time window. Ask what’s included (labor, packing, local travel) and how any haul-away or disposal is documented. Haul-away covers furniture and regular household items only; no paint, fuel, propane, all batteries, or chemicals. Confirm the company name, the COI process, and the license. Ours is USDOT 3023880.
Red flags: a vague quote that ignores the building rules, a promise to get around management, or a claim that every Naples building works the same way.
What the day itself looks like: what to expect on moving day.
